August 1, 2019: Today marks the one-year anniversary of the official release of StaffReady’s Document Control Module. The new module is ISO 9000:2015 compliant, and compliments StaffReady’s current Scheduling and Competency Assessment modules.
A Document Control system is a modern-day reality in the Laboratory and Pharmacy. However, customers report significant issues with the document control systems they are using now. Chief amongst those complaints are rigid workflows and rules that don’t accommodate today’s rapidly changing workplace. Clients need the flexibility to meet challenges that are now commonplace: a member on a review team may take another role in the organization, a subject matter expert might need to be brought in for a review of a document, or the Medical Director may go out on maternity leave.
“We see customers intentionally working outside of their legacy document control systems,” notes Matt Swanson, Technical Operations Manager at StaffReady. “Their current processes restrain their ability to move a document through a review cycle with ease. Those clients report that they resort to emailing documents back and forth, and then re-enter the software workflow when the real work of review and revision is already complete.”
With StaffReady, no templates are required, allowing organizations to create and maintain the same look and feel of the documents currently in use. Additionally, the software allows for adoption of currently approved documents into the system without an additional review cycle. This is particularly appealing to clients during the implementation stage. With no pre-defined templates to work with, Clients can upload any file type they choose and can change formats during the process. As an example, once the client is ready to move forward with a request for approval, the file can be saved as a PDF to prevent further edits.
At the center of Document Control is the Change Log, which gathers and compiles the edits made and the discussion that reviewers had in the process. This will prove valuable when Clients need to review a critical change in a document and gives the whole team visibility into the reasoning for a given change.
Consolidation and Harmonization of Operation
“Hospital Consolidation is a major force in the healthcare industry right now,” notes John Janzen, President and Founder of StaffReady. “Laboratories and Pharmacies, within ever-growing hospital chains, are being called upon to consolidate and harmonize operations. Document Control plays a significant role in that process, and the software needs to be sophisticated enough to handle both Enterprise-wide and local hospital considerations.” Janzen continued, “Our clients have had great success using our Competency Assessment and Scheduling modules as tools in standardizing operations across hospitals within larger organizations. Document Control gives them another arrow in their quiver. This is truly Clinical Workforce Management Software.”
“This is more Document Collaboration than Document Control,” Janzen concluded. “It’s Document Control for the real world.”
